The Challenges
Our initial discussions with OneTen revealed a complex landscape with unique challenges. Not only were job seekers navigating a maze of different platforms —from WordPress to Typeform —but the project required coordinating with five different vendors, each bringing its expertise and requirements.
The OneTen internal marketing team had its vision, the HubSpot development team had its standards, and the AI tool had its constraints — all of which needed to be carefully balanced and integrated.
Ultimately, we identified several critical areas that needed addressing:
- A fragmented user journey for jobseekers spanning multiple platforms
- Complex login requirements across different systems
- Manual processes slowing down talent matching for recruiters and employment partners
- Inconsistent resume formats hampering efficient candidate evaluation
- The need to balance sophisticated AI matching with human-driven recruitment
The Solutions
A Streamlined Pre-Screening Experience
Our first priority was simplifying the job seeker journey. We consolidated multiple platforms into a seamless HubSpot-based experience that lives on their website, creating a sophisticated multi-step pre-screening system that:
- Evaluates candidate qualifications through six integrated HubSpot forms, each tracking specific conversion metrics
- Features a sleek, user-friendly interface that guides candidates through qualification questions
- Automatically categorizes candidates into three distinct groups: work-ready candidates, those needing additional skills, and those who don't fit current opportunities
- Implements complex workflows to manage Eightfold.ai's asynchronous API, including a 10-minute polling system to check transaction tokens
- Creates a complete candidate profile across three integrated tables (profile, candidate, and user) in a specific sequence to ensure proper data relationships
- Provides an engaging interim experience during API delays, offering additional skills assessments and resources while account creation processes run in the background
- Manages automated welcome emails and Auth0 registration processes once candidates are verified
A Powerful Internal Dashboard
For OneTen's talent recruiters, we developed a custom React-based dashboard that revolutionized their workflow. This internal tool features:
- Direct integration with their Redshift data warehouse for rapid job searches, allowing recruiters to access and match job requirements quickly
- Standardized talent profile cards that transform complex resumes into streamlined, bias-reducing formats, highlighting only the most relevant qualifications and experience that employment partners care about
- A sophisticated CSV-based candidate import system that intelligently deduplicates records and validates email addresses
- Custom HubSpot objects for pool sourcing tasks that track the entire recruitment workflow
- Multi-step approval processes with automated email notifications to talent supervisors
- Secure document handling with role-based access controls
- PDF generation capabilities for sharing candidate information with employment partners
- A streamlined communication system that automatically routes approved talent profiles to important partners like Cleveland Clinic, replacing what was previously a manual process of sending zip files
Technical Innovation
One of our proudest achievements was implementing a sophisticated Auth0 Single Sign-On solution that is the backbone of the entire system. This independent identity provider allows both public job seekers and internal recruiters to move seamlessly between platforms without multiple logins. The implementation required careful coordination between various systems, including:
- Environment Management: Separate development and production tenants in Auth0, each managing distinct application connections
- Access Control: Dynamic user management through HubSpot properties, with custom configurations for OneTen.org email addresses
- Platform Integration: Custom subdomain mapping between HubSpot and Eightfold, with Auth0 serving as the master user access list
- Security Implementation: Specialized handling of public vs. internal user access, with gated content protection
This integration's technical complexity showcases our ability to solve enterprise-level authentication challenges while maintaining a smooth user experience.
