Integrating Restaurant Software with HubSpot

Imagine having the power to tailor your restaurant's marketing efforts based on precise guest preferences and dining habits. Now, stop imagining. It's possible with Lynton's custom integrations. We're excited to talk about two HubSpot CRM integrations that connect your favorite restaurant software with HubSpot: OpenTable and OneDine.

Let's dive into how each can transform your restaurant's approach to customer engagement and data-driven decision-making. Please note: Lynton has successfully built these integrations for a client in the past but currently does not have any active customers using it.

What is the HubSpot + OpenTable Integration?

OpenTable is a popular reservation platform used by restaurants worldwide. Our integration bridges the gap between OpenTable's reservation data and HubSpot's marketing capabilities by syncing customer and reservation data. This connection allows you to harness the full potential of your guest information for targeted marketing campaigns and comprehensive reporting.

What Does It Sync?

The OpenTable integration is designed to provide a comprehensive view of your guests' dining habits and preferences. Syncing crucial data points from OpenTable to HubSpot will provide you with a wealth of information to inform your marketing strategies and improve guest experiences.

The integration we've built in the past for customers focuses on two primary data sets. The first is OpenTable Guests → HubSpot Contacts. This one-way sync transfers guest information, including:

  • First created date
  • Number of reservations
  • Last location visited
  • Birthdate
  • Phone number
  • Notes and unique identifiers

The second data set is OpenTable Reservations → HubSpot Custom Objects (Reservations & Reservation Patronage). This sync creates custom objects in HubSpot for each reservation, tracking:

  • Booked reservations
  • Completed reservations
  • Check details
  • Other visit-specific information

Using the Power of Reservation Data

With the OpenTable integration, you're not just collecting data –— you're opening up a world of possibilities for personalized marketing and data-driven decision-making. The rich information this integration offers helps you create highly targeted campaigns, automate key marketing processes, and gain deeper insights into your business performance through more robust reporting.

Here's how you can leverage this data:

  1. Create Personalized Marketing Campaigns: Develop targeted email nurtures based on dining preferences, frequency, and special occasions. For example, you could create a campaign for regulars who frequent your restaurant and design a special offer for guests who haven't visited in the past three months.
  2. Trigger Automated Workflows: You can also use the synced data to set up behavior-based workflows for scenarios like:
    • Anniversary celebrations: Send a special offer for a couple's dining anniversary
    • Birthday offers: Automatically send a birthday discount or free dessert offer
    • Re-engagement for no-shows: Create a gentle reminder campaign for guests who missed their reservations
    • First-time reservation follow-ups: Welcome new guests with a thank-you message and invitation to join your loyalty program
  3. Generate Insightful Reports: With OpenTable data flowing into HubSpot, you can gain valuable insights and make restaurant-wide decisions with reports on:
    • Reservations by month or day: Identify booking trends to inform staffing and inventory decisions.
    • Total number of OpenTable guests: Track growth in your customer base over time.
    • Month-over-month reservation comparisons: Measure the impact of your marketing efforts on reservation volume.

What is the HubSpot + OneDine Integration?

OneDine is a comprehensive platform for managing restaurant transactions. Our integration connects OneDine's detailed transaction data with HubSpot, opening up new possibilities for personalized, marketing data-driven strategies.

What Does It Sync?

The OneDine integration goes beyond basic transaction data, providing a holistic view of your customers' dining experiences and preferences. Like OpenTable's integration, this detailed information allows you to create targeted marketing campaigns and make informed business decisions.

The integration performs a one-way sync of: OneDine Transactions → HubSpot Deals & Line Items. This sync transfers a wealth of transaction data, including:

  • Customer details (email, name, phone)
  • Transaction specifics (ID, amount, time, status)
  • Payment information (issuer, tender, suffix)
  • Store information (code, name, number)
  • Loyalty and rewards data

Maximizing Transaction Data for Marketing Success

The OneDine integration provides a goldmine of data that can maximize your marketing efforts and business strategies. By leveraging this detailed transaction information, you can create targeted, personalized experiences for your guests, optimize your operations, and make data-driven decisions that drive growth.

Here's a better look at how you can utilize the potential of this integration:

  1. Personalize Marketing Based on Transaction History: Craft campaigns that speak directly to customers' preferences and spending patterns. For instance, you could create a special offer for customers who frequently order vegetarian dishes or design a high-end tasting menu promotion for your top spenders.
  2. Optimize Your Menu and Promotions: Use transaction data to inform menu changes and create targeted offers during slower business hours. Analyze the most popular dishes and adjust your menu or create time-specific promotions to maximize sales.
  3. Enhance Loyalty Programs: Leverage loyalty data to create tiered marketing campaigns and exclusive perks for frequent diners. Design a multi-level loyalty program that rewards customers based on their spending habits and frequency of visits, encouraging increased engagement with your restaurant.
  4. Create In-depth Reports: Combine transaction data with other metrics to make informed decisions about your restaurant's marketing and sales strategies. Generate reports that show the correlation between marketing campaigns and sales or analyze the impact of seasonal menu changes on overall revenue — for all your locations.
